When you start a new email sequence, your emails are automatically scheduled to send as soon as possible within your set sending window. However, several factors can affect the sending process and sequence duration.
In this help article, you will learn more about:
How email sequences are scheduled
Email sequences are sent in priority order per sender email account.
For each email account, Hunter starts with the oldest (first-created) sequence and sends emails from it until all scheduled emails have been sent. It then moves to the next sequence in creation order. Newer sequences are sent only after earlier ones have been processed for the day.
Email Sequences Statuses
When you create an email sequence in Hunter, they will all be visible in the Sequences section. Each email sequence will be listed in order of creation, with the newest one on top. You can see the date of creation, the email sequence's performance stats, the email sequence status, the estimated time to be sent and the progression.
๐ An email sequence can have different statuses:
Live: Emails are actively being sent for this sequence.
Archived: Sequences that have been archived and are no longer active.
Preparing: Indicates that a new sequence has been launched and emails are being prepared for sending.
Planned: An email sequence is scheduled for future sending based on the selected scheduling preferences.
Completed: All emails in the sequence have been sent. Adding new emails will automatically reactivate the sequence.
Paused: The email sequence has been manually paused by the user.
On Hold: An active email sequence temporarily not sending emails. Hover over the status to see the reason (e.g., daily sending limit reached, outside the sending window).
Error: The email sequence has stopped sending emails due to an error. Hover over the status to view details (e.g., email account disconnected).
Draft: An email sequence that is still in draft status and not yet launched.
Filter your email sequences by status
To filter your email sequences by status, simply select Status at the top left and choose the status you want to filter from the dropdown menu. Now click on Apply filter.
The Estimated next send column
The Est. next send column includes the time and day when the next email for an active or scheduled email sequence is expected to be sent.
This is an estimation, as multiple factors can influence the estimated time for an email sequence to be sent. There's no certain way to predict the exact delivery date of an email.
Some of the factors that can influence the expected sending time are:
Parallel sequences in Hunter: in Hunter, the oldest pending emails are always sent in priority. This means that if you have multiple active sequences, the new ones will have to wait for the oldest ones to be completed before they can actually start being processed.
Your daily sending limit: If the sending limit for the day has been reached, the email sequence will be paused until a new day starts.
Emails sent outside of Hunter: we don't have control over the volume of emails you send outside Hunter (through Gmail, an email client, or any third party). For this reason, we can't be sure we'll be able to reach the daily limit defined in Hunter.
Gmail and GSuite limits: Google limits the number of emails you can send per day (Learn more).
The Progression column
The Progression column provides a visual representation of the progression of the email sequences. Each bar corresponds to a specific email sequence step (e.g., the first email, follow-up 1).
Hovering over the progression reveals a tooltip displaying the status of each email step. Hereโs a summary of the progression statuses:
Finished: All emails in the step have been sent, represented by a โ tick icon.
Not started: The step has not begun yet.
X/X: Shows the number of emails sent versus the total emails for that step, represented by a โถ๏ธ play icon.
The Daily Sending Limit
Based on the type of email account you connect to Hunter, you'll have a different daily sending limit:
Type of email account | Daily sending limit |
Google Workspace/Gmail | 400 emails a day per email account |
Outlook/Microsoft | 250 emails a day per email account |
SMTP/IMAP (paid plan) | 250 emails a day per email account |
To minimise the risk of being rate-limited by your email provider (especially if your email account is relatively new), we have set the default daily sending limit to 15 emails per day.
๐ However, you can increase or decrease this limit at any time from the Email Account Settings in Sequences.
๐ก We recommend increasing the daily sending limit only once you have properly warmed up your email account and started getting high open and reply rates for your email sequences.
The Sending Window
Your sending window in Hunter: A narrow window and/or a large delay between emails will increase the duration of your email sequence. You can either use the default sending window or override it and use a custom sending window for each sequence, from the Settings step of your email sequence as well.
Finding your queued emails
When an email sequence is sending emails, you can see a Live status update in the Sequences section:
You can click the Queue section to view the emails that will be sent within the next 15 minutes and the scheduled emails.
Here, you can set different filters, such as filtering by the sender email account, by a specific email sequence name, or by a team member:
The following views provide a breakdown of pending and scheduled emails.
The Outbox: emails queuing to be sent in the next 5 minutes are added to the Outbox, and the view is also automatically refreshed.
Scheduled emails: All the scheduled emails. Based on your sending window, they will be progressively added to the Outbox.
